Establishment and award of scholarships and prizes
Policy
This policy shall apply to all new scholarships and prizes established from 1 January 1997. The policy is in addition to, and does not override, the University policy for the development of departmental research scholarships.

A scholarship or prize shall be granted at a specified frequency and on the basis of academic merit only;

The scholarship or prize shall be granted only for work which has been done by a student as part of the course for a degree, diploma or certificate;

The scholarship or prize shall be awarded only if there is a candidate of sufficient academic merit who meets the approved criteria for the award;

The criteria for the scholarship or prize, including selection of both the recipient and the person or persons responsible for selection of the recipient of the award, shall be clearly indicated and published in the Faculty Handbook;

Unless specified in the criteria for the award, a scholarship or prize shall not be granted to the same person twice and provision shall be made in the award criteria for the contingency of two or more candidates tying for a scholarship or prize, in which event the award may be shared;

A scholarship or prize may not be awarded until the Faculty Board has approved the recommendation for the establishment of the award;
- The donor of a scholarship or prize shall be notified annually of the name of the student or students to whom the scholarship or prize has been awarded.
For prizes only
Procedure for the establishment of scholarships and prizes

Academic staff are encouraged to use their contacts outside of the University to seek sponsorship for scholarships and prizes;

Such awards shall be established in accordance with the 'Policy on the establishment and award of scholarships and prizes' approved by Faculty Board;

A copy of this policy must be given to each sponsor at the time the scholarship or prize is negotiated;

In the first instance the head of department, in the case of an award for a subject, or course director, in the case of an award for a course, shall forward the criteria for the scholarship or prize, including details of the name of the sponsor, the value of the award and the name of the course, course-level or subject for which the scholarship or prize is to be awarded, to the appropriate Faculty committee which shall recommend accordingly to the faculty board;

After approval by Faculty Board, the criteria for the scholarship or prize shall be published in the faculty handbook;

A new scholarship or prize may not be awarded until after it has been approved by Faculty Board;

Each year heads of department and course directors, in conjunction with heads of department, must notify each scholarship or prize donor of the name of the student or students to whom the scholarship or prize has been awarded.
Note
The following standing committees of Faculty Board consider proposals for prizes and scholarships: Undergraduate Operations Committee for undergraduate subjects and courses; Graduate Operations Committee for graduate subjects and graduate programs by coursework; Research Degrees Committee for research degrees.
