Sessional teaching opportunities - duties

Tutor Responsibilities

  • Attend the faculty sessional induction program
  • Work closely with the unit leader to ensure that tutorial content and administration is in line with Department and University policy and regulations
  • Advise the unit leader of any issues or concerns regarding students, the material or administration
  • Undertake activities as per the department of Marketing and Sessional Appointment form
  • Ensure that Department administration receives completed Department of Marketing Sessional Appointment forms signed by the unit leader
  • Provide reception of consultation hours and location, work patterns and contact numbers
  • Display a consulting card on the sessional room door and supply a consulting card to reception
  • Provide academic supervisor with sessional timesheet upon completion of work for authorisation
  • Ensure students are aware of your contact details and consultation hours
  • Attend to all duties as per authorised sessional timesheet and inform the unit leader of any variation to hours, i.e. if sick

Unit Leader Responsibilities

The Unit leader or coordinator is the person most sessional academic staff will be dealing with. Their primary responsibility in relation to you is to provide you with the information you need to be able to carry out your teaching tasks. If you are a unit leader for a unit please note your responsibilities to tutorial staff.

Unit management in consultation with the Director Graduate or Undergraduate and the Course Coordinator including:

  • Timely preparation and formatting of materials in consultation with the Course Coordinator regarding content and structure of the unit
  • Develop the unit outline and the lecture program in consultation with the Course Coordinator
  • Ensure that copies of the unit outline are available, on the V drive and at reception in a timely manner
  • Undertake lectures using, appropriate and up-to-date materials and the Department's power point slide templates, where possible
  • If the unit leader is not delivering the lectures, work in close consultation with the selected lecturer
  • Ensuring timely printing and distribution of materials to students and to administrative staff
  • Inform reception of consultation hours and location, work patterns and contact numbers
  • Display a consulting card on your office door and supply a consulting card to reception prior to commencement of each semester
  • After prior approval from the HOD organise any guest lecturers where relevant and available. If payment is required ensure any necessary documentation is organised prior to the lecture and that guest lecturer is aware of appropriate remuneration and conditions
  • Undertaking, at a minimum, one tutorial group per semester and provide approximately 5 hours for consultation with students per week. In addition staff who teach part-time students are requested to nominate at least one hour after 5pm.
  • Provide the HOD with a brief on the number of students undertaking the Unit, the number of tutors required and possible tutor selection recommendations prior to the start of the semester
  • Ensure that all necessary documentation (CV, engagement profile, appointment form, banking details) for approved tutors forwarded to administration to enable confirmation of their suitability and gain HOD approval prior to the commencement of teaching
  • Assist tutors selected with information on remuneration and appropriate payment methods i.e. they may be eligible to have a consultancy agreement drawn up else be paid as an employee
  • In the case of consultants please ensure that agreements are established with administration and remuneration set prior to teaching
  • The timely establishment and alteration, where approved, of tutor engagement profiles
  • Once selection of the tutor is approved, confirm the expectations of the placement and the contract details with the tutor.
  • Ensure that tutors are aware of their duties, responsibilities, remuneration, departmental contacts, administrative procedures and performance expectations
  • To introduce the new sessional staff member to staff, provide with induction information and ensure they have any necessary keys, email, identify facilities, services and processes etc.
  • Monitor tutor performance and provide advice where necessary
  • Prepare examination papers and submit to administration in a timely manner
  • Ensure timely coordination and provide analysis of marks and results
  • Ensure coordination of tutors role i.e. tutorial activities and benchmarks for assessment. This includes the preparation of marking guidelines for all assessment as per faculty policy.
  • Timely submission and approval of tutor timesheets consistent with the agreed hours on engagement profiles
  • Production of an end of semester report which should contain the following and should be in hard copy, to the Course Coordinator, not sent by email:
    1. Spreadsheet containing full student list, performance % mark on each aspect of assessment including exam and a final grade. Please also indicate special considerations, absences etc
    2. Some key data from the spreadsheet. Mean marks for each assignment and standard deviations for each assignment as well as the final percentage
    3. The unit outline.
    4. A short one page maximum report with information regarding staff used, including sessional markers, locations and modes. Any problems encountered with technology, student response or teaching materials that will be useful for the next time the unit runs.
    5. Provide comments on tutors performance to the Director Undergraduate or Post Graduate Studies.

Undergraduate Program Director Responsibilities

Undergraduate Program Director is the term used for those staff members who oversee the marketing major or equivalent for each of the three degree families in which the Department of Marketing teaches. Their task is to create program leadership in consultation with the Director of Teaching, including development, maintenance and review of the course.

Key results areas and responsibilities

  • All Department, Faculty and University regulations and procedures are adhered to in the establishment, delivery, assessment and administration of the course
  • Assistance with the promotion of the course via Departmental, Faculty and University channels
  • Represent the course for example, by participating in relevant committees
  • Provide recommendations to the Director of Teaching regarding aspects of the course and its relationship to other courses, for example the structure of the course, sequencing of units within the degree, or possible strategic advantages available
  • Provide recommendations on unit offerings per semester and assist with timetabling issues
  • Liaise with teaching administration staff to ensure that any alterations to offerings, including prerequisites, unit title or changes to timetables etc are reflected in our handbooks, brochures and on the web
  • Make recommendations to the DOT for appointment of unit coordinators
  • Supervise sessional unit co-ordinators for the degree family
  • Provide ongoing advice to unit coordinators, communicate and assist with interpretation of policies and procedures
  • Ensure course materials are prepared in a timely manner e.g. unit outlines, exams, results spreadsheets, unit reports
  • Provide advice to students with respect to course progression and other 'academic' queries
  • Awareness of completion rates and other performance statistics
  • Assist the HOD/DOT undertake the chief examiner role for the course and participate in all necessary meetings to collect, examine and make recommendations on results, including chairing the department pre-BOE and representing the department at the Faculty BOE.
  • Assist the administrative staff with communication of policy, explanation of issues and any implementation of procedures
  • Liaise with the DoT and relevant Faculty staff on matters affecting academic or administrative aspects of the course e.g. Faculty Course Director
  • Nominate, in consultation with the DoT, an alternative Program Director when necessary e.g. annual leave.

Graduate Program Director Responsibilities

Graduate Program Director is the term used for the staff member who oversees the Master of Marketing courses which the Department of Marketing teaches. Their task is to create program leadership in consultation with the Director of Teaching, including development, maintenance and review of the course.

1. Provide strategic leadership and general direction to build and promote Program identity by:

  • Contributing to Faculty strategic planning in relation to the development of the graduate programs in consultation with the Director, Graduate School of Business, and as an active member of the Graduate Course Advisory Group;
  • Keeping abreast of external developments in their particular Program area, including awareness of competitor programs, market needs and employment trends;
  • Monitoring and reporting on program enrolment profiles.
  • Having an input into matters pertaining to Program promotion including positioning of Program in brochures, handbooks and advertising materials;
  • Representing the Program at events such as Information sessions, offshore recruitment visits, Open Day, and Orientation;
  • Participating in Faculty and University committees, working parties and advisory groups as appropriate;
  • Providing advice and guidance on presentation of Program to those involved in external relationship development and alumni matters;
  • Providing advice to the Head of Department and GSB Director on the impact and implementation of current and proposed Faculty and University education policy on their Program.

2. Actively represent Program interests in terms of teaching and learning quality by:

  • Playing a leadership role in contributing to and monitoring the maintenance of Program quality;
  • Ensuring that unit leaders in core units work together to monitor and improve Program design and delivery.
  • Monitoring and reporting on issues/trends for Program performance indicators and act with the Head of Department and GSB Director to improve quality.
  • Providing input into issues relating to student quality such as entry standards, academic assessment of Advanced Standing etc
  • Identifying and assisting in the implementation of initiatives designed to enhance the quality of the student experience at Monash University

3. Ensure productive and high quality service delivery to the Program cohort by:

  • Working with Faculty and University admissions offices to review selection standards and admissions practice for both local and international students;
  • Working with Student Service staff to ensure that appropriate and accurate advice is provided to students in relation to Program and unit selection;
  • Working with the Faculty Education Office and other support service providers to ensure that programs meet student needs and that students are effectively referred to appropriate support services; e.g. community services.
  • Providing a conduit for student views on a range of issues including Program structure, unit content, pedagogy and service delivery.
  • Contributing to the investigation of student grievances and cases of misconduct submitted to the GSB Director.
  • Providing a first level response in relation to issues arising between students and students and staff.
  • Participation in student grievance and misconduct hearings and APC hearings
